Guidelines for Troop PlanningConference From: Scoutmaster

During this last year of Scouting, 1999-2000, we have had anumber of periods during which our slate of activities has beenrather full. In May, for instance, we had the following schedule:

A brief look at our troop eventsfor 1999-2000 will show that we have reason for concern. Withthis in mind, I would like to suggest some guidelines for ourplanning.
Our regular events should be as follows:
- CCP Scouting Morning*
- Evening Troop Meeting**
- CCP Scouting Morning
- Scouting Morning Makeup/Patrol Leaders' Council Meeting
- CCP Family Night
* The dates of the CCP events are already listed on the
CCP Calendar. The other two eventsshould be scheduled on separate weeks, in the evening, and noton Scouting Morning weeks. ** Boards of Review should be scheduled during these EveningTroop Meetings on the months during which we have our quarterlyCourts of Honor. As the year progresses, we may decide to replaceany particular Evening Troop Meeting, other than those on whichwe have scheduled a Board of Review, by another activity (e.g.Town Council Meeting, YMCA swim, D.A.R.E. presentation, a seminaron Constitutional rights and obligations). These activities couldbe scheduled on any day during the week of the given Evening TroopMeeting.
In addition to the above regular events, each month, we shouldschedule either an outing or a fundraiser, usually for a weekend.I think that it is advisable to have at least one month duringthe school year that is devoted to fundraising, rather than anouting. Perhaps, for instance, we could conduct a flower saleon Mother's Day weekend in May.
In the summer (June, July and August), we will no longer haveCCP Scouting Mornings or Family Nights. During these months, wecan schedule both a fundraiser and an outing.
Our plans should take our adult leadership into consideration.In addition to providing two-deep leadership for our troop events,the regular events for our adult leadership are as follows:
- CCP Leaders' Meetings
- Troop Committee Meetings
- Ojibwas District Leaders' Roundtables
The schedule for the CCP Leaders' Meetings and the OjibwasDistrict Leaders' Roundtables are already listed on the CCPCalendar. The CCP Leaders' Meetings occur in September, October,and March. I believe that there should be Troop Committee Meetingsevery month other than these three months.
Courts of Honor should be scheduled quarterly. Two of theseCourts of Honor have already been scheduled for the CCP FamilyNight in November, 2000 and the CCP Banquet in May, 2001.
I suggest that the remaining two Courts of Honor be scheduledduring Troop Committee Meetings in February and August. The FebruaryTroop Committee Meeting could be devoted to conducting the NorthwoodsSummer Resident Camp parents' meeting and our Court of Honor.The August Troop Committee Meeting could be devoted to conductingour Troop Calendar Presentation and our Court of Honor.
In planning for the entire year, we should not think strictlyin terms of months. We should not think that each month is isolatedfrom the other months. We need to consider the overall schedulingof events. For instance, suppose that we decide to conduct a flowersale on Mother's Day weekend. Although this event would occurin the middle of May, we will probably have to do a lot of workon it in April, as this event will require a lot of planning.Hence, we would need to take this event into account when planningfor April.
